Combo Meeting – Definitions

Settings Modal – Combo Meeting

Configuration Modal (Folder Mapping & Status Engine)

Full, Clear & Visual Description

The Combo Meeting configuration modal is the control layer for the entire Combo Meeting system.
It does not manage data rows (the meetings themselves) — instead, it defines the rules, structure, and vocabulary by which all Combo Meeting data operates throughout the system.

Think of this modal as the blueprint that shapes how Combo Meetings function everywhere else.

1. What this Modal Truly Is (Conceptual Understanding)

This modal answers two critical questions:

  1. How are clients connected?

    → Through Folder 1 ↔ Folder 2 Mappings

  2. What state is each connection in?

→ Through Combo Meeting Statuses (Name + Color)

Everything you see in:

  •  Combo Meeting List View

  • Client Connections Dashboard

is powered by the configuration defined here.

No configuration here → no structure there.

2. How to Access This Modal (Entry Points)

This modal is never opened on its own. It is always accessed intentionally:

  • From the Combo Meeting List View

→ Click the ⚙️ Gear Icon next to the "Combo Meeting" title

  • From Client Connections

→ Click ⚙️ Settings in the Client Connections Dashboard
→ Navigate to Settings → Combo Meeting

This ensures that only users who understand the implications make changes here.

3. Visual Structure of the Modal

The modal is designed as a 2-step guided wizard, not a long settings page.

Visually, it appears as:

┌────────────────────────────────────────────┐
│ Combo Meeting        1/2   [ X ] [ i ]     │
│ Next: Combo Meeting Status                 │
├────────────────────────────────────────────┤
│                                            │
│   Step 1 – Folder Mapping                  │
│   (Folder 1 ↔ Folder 2 Pairs)              │
│                                            │
│   [+] Add Pair                             │
│   ─────────────────────────────────────   │
│   List of Folder Pairs (Scrollable)            │
│                                            │
├────────────────────────────────────────────┤
│                         Next →             │
└────────────────────────────────────────────┘

Step 2 replaces the content area but keeps the modal's shell identical.

4. Step 1 of 2 – Combo Meeting (Folder Mapping Engine)

What This Step Controls

This step defines how two client "worlds" are connected.

Each Folder 1 ↔ Folder 2 pair tells the system:

"When a client appears in Folder 1, they can be meaningfully connected to a client in Folder 2."

This mapping is later used for:

  • Categorization

  • Filtering

  • Relationship Logic

  • Client Connections

Folder Pair Concept (Human Explanation)

A folder pair is a relationship rule, not just text.

Example logic:

  • Folder 1: New Leads, Clients

  • Folder 2: Tasks, Archive

Meaning:

Clients from New Leads or Clients can form Combo Meetings with clients from Tasks or Archive.

This enables controlled and meaningful connections instead of random links.

What Can Be Done in Step 1

  • Add New Folder Pairs

    Click the ➕ button, enter:

    • Path/s for Folder 1

    • Path/s for Folder 2
Save → The rule becomes active immediately.

  • Edit Existing Pairs

Change either side of the relationship.

  • Delete Pairs

    Remove outdated or invalid mappings.

  • Scroll Through Large Configurations

Designed for organizations with many folder structures.

Why Step 1 is Critical

Without folder pairs:

  • The Select Folder filter would be meaningless

  • Client connections would lack structure

  • Combo Meetings would become unmanageable at scale

This step enforces order and logic.

5. Navigation from Step 1

On the bottom right:

  • Next → Combo Meeting Status

This step cannot be accidentally skipped — the process is guided.

6. Step 2 of 2 – Combo Meeting Status (Lifecycle Definition)

Once folder logic is in place, the system needs state.

This step defines:

"What stage is this Combo Meeting currently in?"

What a Combo Meeting Status Is

A status is:

  • A label (text)

  • A color

  • A common language across the system

Examples:

  • Pending (Yellow)

  • Approved (Green)

  • Completed (Blue)

  • Canceled (Red)

What Can Be Done in Step 2

  • Create New Statuses
Enter a name, choose a color, save.

  • Edit Statuses
Change their name or color without affecting existing data rows.

  • Delete Statuses
    Remove unused lifecycle states.

Any change here is immediately reflected wherever Combo Meetings are displayed.

Why Colors Are Important

Colors allow for:

  • Quick scanning

  • Visual prioritization

  • Understanding without reading

7. Navigation in Step 2

  • Back
Returns to Step 1 if folder logic needs adjustment.

  • Close (X)
    Exits the configuration.

There is no "Next" — Step 2 is the final authority.

8. How This Modal Powers Other Screens

Connection to (List View)

  • Status Column
Uses the statuses defined in Step 2.

  • Folder Logic
Determines how Combo Meetings are internally categorized.

  • Gear Icon
    Opens this modal directly.

Connection to (Client Connections Dashboard)

  • Select Folder Filter
Uses Folder 1 & Folder 2 pairs from Step 1.

  • Combo Meeting Status Column
    Uses statuses from Step 2.

  • Consistency
    One configuration → many views.

9. Why This Modal Is Architecturally Important

It's not "just settings."

This modal:

  • Centralizes relationship rules

  • Prevents inconsistent data

  • Enables scalable client connections

  • Makes File 1 and File 3 predictable and clean

  • Separates configuration from operation

Administrators configure here.
Users operate elsewhere.

10. Mental Model (Simple Explanation)

  • Combo Meeting List View "Show me my Combo Meetings"

  • Combo Meeting Dashboard → "Let me analyze and manage relationships in depth"

  • (This Modal)
