Operational Core

 

The Appointment Settings panel is the administrative heart of your clinic. Here, you define the core logic of your healthcare environment by managing Specialists, Branches, and Consultatory Rooms. By configuring Appointment Types and Resources, you ensure that every booking is perfectly synchronized with your staff's expertise and your facility’s physical capacity.

 

Setup Team Member Access

 

To add a new team member, navigate to Settings > Special Module > Appointment.

  • Location Sync: Select the Branches where this member is available.

  • Service Mapping: Assign the Appointment Types this doctor specializes in.

  • Fee Structure: Define the Cost for each service to enable real-time billing during the booking process.

 

Feature Description: Appointment Type Setup

This workflow allows administrators to create or edit an Appointment Type by configuring service details, pricing, and multi-entity associations (Staff, Locations, Rooms, and Insurance).

 

Step 1: Initiating the Form

  • Action: Click the Next Step button on the "Team Member" modal.

  • Trigger: The system transitions to the main configuration form, indicated by the Plus (+) icon highlighted in the interface.

 

Step 2: Core Details & Multi-Entity Assignment

  • Service Details: Filter by Appointment Type or Branch.

  • Team Members: Assign Multiple Doctors/Staff. Each can be assigned a unique individual cost for this specific service.

  • Branches: Multi-select functionality to enable this appointment type across Multiple Clinic Locations.

  • Resources: Assign Multiple Resources (e.g., specific medical equipment or tools) required for the session.

 

Step 3: Insurance Configuration

  • Company Price: The amount billed to the insurance carrier.

  • Customer Price: The co-pay or out-of-pocket amount the patient is responsible for.

 

Appointment Grouping & Product Bundling

This module allows for the creation of sophisticated service bundles. Instead of booking a single session, users can group multiple appointment types and inventory products into one purchasable package that automatically schedules future visits.

 

Form Details & Logic * Group Identity: Define the Group Name and a specialized Group Price (often a discounted rate for the bundle).

Click the Next Step button on the "Appointment Type" modal.

 

  • Location Access: Assign Multiple Branches where this specific group/package can be redeemed.

  • Inventory Integration: Ability to Add Products from Inventory to the group (e.g., a "Post-Op Package" that includes a brace or medication).

  • Multi-Service Mapping: * Select Multiple Appointment Types.

  • Support for Redundant Selection: The same appointment type can be added multiple times to the same group (e.g., 3 Physical Therapy sessions + 1 Consultation).

 

Booking & Generation Logic

 

  • Automatic Sequencing: When a "Group Appointment" is booked, the system does not create one entry; it generates a sequence.

  • Frequency Logic: If 3 appointment types are selected within the group, the system will automatically generate 3 separate appointments (e.g., scheduled weekly for 3 weeks) to ensure the full treatment plan is reserved in the calendar.

 

Insurance & Customer Assignment

Enter the legal name of the insurance carrier and link the primary policyholder. This association is required to ensure claims are routed correctly and to maintain a searchable record of coverage under the customer’s profile.

 

 

  • Action: Click the Next Step button on the "Appointment Group" modal and also click Next Step button on the "Online Appointment Builder"

  • Requirement: Assign a Customer (Required) and Add the Insurance Company Name.

  • Goal: Establishes the formal link between the carrier and the client for billing and documentation purposes.
