The system features three powerful reporting modules designed to streamline financial tracking, staff performance, and client management. The Coupon Usage & Invoicing Report monitors promotional activity by filtering customer and company data, allowing for instant invoice generation through smart checkboxes that automatically hide for unused or already-invoiced coupons. The Doctor Appointment & Revenue Report provides a clear view of total appointments and costs by type, offering flexible filtering by branch and date range with full export capabilities for administrative review. Finally, the Customer Engagement Report tracks the complete client journey—including pending, completed, and next appointment dates—allowing users to customize data fields by name or mobile number and export comprehensive records for better follow-up and clinical tracking.

 

Where to show Appointment Reports?

To access your comprehensive reporting suite, navigate to the Advance tab located on the main page of the system. Under this section, you can manage the following three core modules:

  • Appointment Coupon Report: Track used coupons filtered by customer, company, and coupon code with an integrated invoicing system that displays checkboxes for pending invoices while hiding them for already-billed or unused codes.

  • Doctor Appointment Report: Monitor total appointments and costs by type, with options to filter by specific branch and date range for full administrative review and export.

  • Customer Appointment Report: View detailed client history including next appointment dates, pending tasks, and completed sessions, with customizable fields and export functionality.

 

Appointment Coupon Report

 

The Appointment Coupon Report serves as a centralized financial and administrative hub for managing promotional discounts and corporate billing. This report allows you to track exactly which coupons are being utilized and by whom, providing a transparent view of adjusted revenue.

 

Comprehensive Data Tracking

The report generates a detailed list of coupon activity, capturing essential information for every transaction:

  • Identification: It displays the Customer name and the Company they are associated with.

  • Coupon Specifics: You can view the exact Coupon Code used and the specific Appointment Type it was applied to.

 

  • Financial Metrics: The system tracks the initial coupon Amount, the Left Amount (if the coupon is reusable or partially used), and the overall usage Status.

  • Management Tools: Administrators have the flexibility to Edit coupon details or Delete entries if an error was made or a promotion needs to be revoked.

 

Smart Filtering and Invoicing Logic

The report includes built-in intelligence to simplify bulk billing for corporate clients:

  • Company Filters: When you filter the report by a specific Company, the interface adapts to show a checkbox next to coupon codes.

  • Automated Invoice Creation: By selecting these checkboxes, you can instantly generate an invoice for all selected coupon uses in one action.

  • Duplicate and Error Prevention: To maintain accounting integrity, the system automatically hides the checkbox if an invoice has already been created for that specific coupon or if the coupon remains unused. This ensures that you only bill for completed transactions and never double-charge a client.

Appointment Doctor Report

 

 

The Appointment Doctor Report is a specialized analytical tool located within the Advance tab on the main page, designed to provide a clear view of staff productivity and branch-level revenue. This report allows administrators to monitor the performance of medical professionals and financial outcomes with precision.

 

Key Tracking Features

  • Appointment Volume: The report calculates and displays the total number of appointments handled by each doctor within a specific timeframe.

  • Revenue Analysis: It provides a detailed breakdown of costs categorized by appointment type, allowing you to see which services are driving the most revenue.

  • Multi-Branch Monitoring: You can filter the data by Branch, making it easy to compare performance across different physical or virtual locations.

 

Customization and Portability

  • Date Range Filters: Users can narrow down results by selecting specific start and end dates, which is ideal for generating weekly, monthly, or quarterly reviews.

  • Export Functionality: To support external payroll processing or deep-dive administrative analysis, the report includes a full Export feature, allowing you to download the data for use in other software.

In the Doctor Setting Modal, you have full control over your staff roster with a user-friendly drag-and-drop interface. This feature allows you to seamlessly add or remove doctors from active status or specific branch assignments by simply moving their profiles within the modal. This visual approach ensures that managing your team is intuitive, fast, and eliminates the need for complex manual entries.

 

 

 

 

Customer Appointment Report

The Customer Appointment Report, located in the Advance tab, provides a 360-degree view of the client journey, making it essential for maintaining strong relationships and ensuring no follow-ups are missed.

 

Core Tracking & Status

  • Comprehensive History: View a complete summary of a customer's completed and pending appointments to track their historical engagement.

  • Future Planning: The report highlights the next appointment date, allowing staff to proactively prepare for upcoming visits.

 

Search & Dynamic Customization

  • Smart Search: Easily locate specific records by filtering for Customer Name or Mobile Number.

  • Field Dropdown Control: You have full control over the report's layout via a Field Dropdown, where you can switch customer fields on or off. This allows you to hide unnecessary data or display additional specific details based on your current administrative needs.

 

Reporting & Portability

  • Export Functionality: The entire customized view can be exported, making it easy to share specific data sets with marketing teams or maintain offline clinical backups.
