Standardizing Workflows with Mission Steps

 

Mission Steps are reusable, color-coded stage labels—such as "To Do," "In Progress," or "Done"—that function as the primary status indicators for tracking task progress across the platform. During mission creation, this feature allows users to assign a specific workflow stage to a task via a dropdown menu, ensuring it appears with its designated name and color in project boards and mission lists. By selecting a predefined step, the system immediately ties the mission to a specific record, which ensures visual consistency and standardized reporting across the entire organization. These statuses are centrally managed within the Biz1 Settings, where they can be added, edited, or deleted to maintain the company’s official workflow.




 

How To Load This Module?

 

  • Step 1 – Access Settings: Click the Settings gear icon located in the profile dropdown menu at the top right of the application.
     

  • Step 2 – Open Biz1 Settings: In the settings sidebar, select the Biz1 Settings tab and scroll down to find the Missions steps option.
     

  • Step 3 – Launch Module: Clicking Missions steps will trigger the listing_of_missions_steps_table() function to load your data and open the Missions steps list modal.





 

Mission Steps Management
 

The Missions steps module serves as a configuration tool for creating and managing the status labels (like "In Progress" or "Done") that track task movements across the platform.

 

Operational Guide
 

  • Creating Steps: Click the plus (+) icon to open the creation form. Enter names for English and Hebrew labels and select a color to represent the stage before clicking Submit.

  • Modifying Steps: Use the pencil (Edit) icon in the Action column to update existing names or colors.

  • Removing Steps: Use the trash (Delete) icon to remove a label; you must confirm the deletion to finalize the removal from the database.

Key Utility & Purpose
 

These settings standardize the workflow by ensuring every team member uses the same status terminology. The custom colors provide instant visual clarity in Gantt and project views, allowing users to identify the current stage of a mission at a glance.

The Missions steps dropdown on the Create Mission page is a core tool for defining a task's status and appearance.


Operational Use on the Mission Page
 

  • Categorization: Pick a predefined stage (e.g., "Analyze Response Quality") to set the mission's current status directly on the creation screen.

  • Visual Identification: Each step in the dropdown applies a unique color, making the mission easy to spot in Gantt and project views once saved.
     

Why It Is Used
 

  • Tracking: Clearly shows where a task sits in the production cycle from the moment it is created.

  • Standardization: Ensures all team members use the same workflow labels for every new mission.

  • Filtering: Allows you to filter reports and mission lists by specific stages like "Submit Final Report" later on.






 

Mission Page: Step Column Integration
 

On the Missions page, the Step column is a key visual tool used to track the real-time progress of every task.

 

How the Step Column Works on the Mission Page
 

  • Visual Status: Each mission displays its assigned stage (e.g., "Analyze Response Quality") within a color-coded badge, making it easy to identify the current phase of a task at a glance.

  • Workflow Consistency: The labels shown in this column are pulled directly from your predefined Missions steps list, ensuring all team members use standardized terminology.

Why It Is Useful
 

  • Instant Tracking: It allows managers and team members to see exactly which production stage a task is in—such as "Provide Improvement Notes"—without opening the full mission details.

  • Clear Organization: The distinct colors associated with each step help organize the mission list visually, allowing for faster navigation and status identification.



     

     

    Mission Creation on the Project Page
     

    - Column-Based Creation: Clicking the "ADD MISSION +" button within a specific column (like "TO DO" or "QUERIES") initiates the creation of a mission already categorized into that specific workflow stage.
     

    - Step Assignment: During creation, the Missions steps dropdown allows you to finalize the status label (e.g., "Analyze Response Quality"), which dictates where the mission sits on the project board.
