Centralized Recurring Meeting Management: Accruing Appointments
 

Accruing Appointments is a specialized management feature within the application designed to facilitate the creation and tracking of recurring meetings rather than one-off events. Accessible through the "Accruing and Automation" section of the Settings menu, it allows users to establish appointment templates that repeat on a daily, weekly, or monthly basis for specific customers. Each configuration includes essential details such as the assigned organization member, duration (15 to 60 minutes), and color-coding, while also offering a Customer Alert integration that automatically notifies clients and logs the activity in their messenger history. By centralizing these recurring schedules, the system ensures consistent engagement and structured time management across the organization.


 

How To Load This Module?
 

To access the Accruing Appointments module, follow these three steps:
 

  1. Open Settings: Click on the Settings gear icon located in the user profile dropdown menu.

  2. Navigate to Accruing and Automation: Select the Accruing and Automation category from the settings sidebar.

  3. Select Accruing Appointments: Click on the Accruing appointments menu item to trigger the AJAX data load and open the list modal.




 

Accruing Appointments: List and Action Overview
 

The Accruing appointments list modal is a centralized management interface used to view, organize, and modify recurring meeting templates. It provides a real-time table of all scheduled repetitions linked to specific customers.

The table provides a clear snapshot of your scheduled commitments through several key columns:
 

  • Title: Displays the specific mission details or meeting description (e.g., "Contract review").

  • Customer Name: Shows the identity of the client linked to the recurring series.

  • Create date: Lists the specific date and start time for each appointment entry.

  • Duration: Specifies the length of the meeting, typically in 15, 30, 45, or 60-minute blocks.


Available Actions
 

You can manage your schedule using these interactive tools:
 

  • Add (+ Button): Opens the "Add a meeting" modal to configure a new recurring series.

  • Edit (Pencil Icon): Triggers an AJAX request to load existing data into the form for modification.

  • Delete (Trash Icon): Permanently removes the selected appointment record from the system.

  • Pagination: Allows you to navigate through different pages of the appointment database.





     

    Configuration Settings for the "Add a Meeting" Form
     

    The "Add a meeting" modal provides a comprehensive interface to define the parameters of a new recurring appointment template. Use the following settings to customize the meeting entry:

     

    - Assign Customer: A searchable text input used to link the meeting to a specific client ID.
     

    - Member: A dropdown menu to select the organization user or team member responsible for the appointment.
     

    - Color: A selection tool to apply a visual category (Pink, Red, Green, Yellow, or Blue) to the appointment.
     

    - Mission Details: A textarea field to enter the specific description or title of the meeting.
     

    - Date & Time: Input fields to establish the initial start date and the specific time slot for the recurrence.
     

    - Customer Alert: A radio toggle to enable or disable automated notifications and messenger logs for the customer.
     

    - Duration: Radio buttons to define the length of the meeting in 15, 30, 45, or 60-minute increments.
     

    - Appointment Duration (Recurrence): A selection to set the repeating frequency as Daily, Weekly, or Monthly.




     

    Monthly Recurring Appointment Configuration
     

    Selecting the Monthly recurrence option in the "Add a Meeting" modal allows you to schedule appointments that repeat on specific dates of every month.
     

    How the Monthly Selection Works
     

    - Triggering the View: When you select the Monthly radio button under the "Appointment duration" section, a numerical date grid automatically appears.

    - Date Selection Grid: The grid displays checkboxes for every day of the month, numbered 1 through 31.

    - Custom Scheduling: You can check one or multiple dates to define exactly which days of the month the meeting should occur (e.g., selecting "1" and "15" for bi-monthly check-ins).

    - Persistence: Once submitted, these selected dates are stored as the recurrence pattern for that specific meeting.



     

    Weekly Accruing Appointment Configuration
     

    Selecting the Weekly recurrence option in the "Add a meeting" modal allows you to schedule appointments that repeat on specific days every week.
     



    How the Weekly Selection Works
     

    - Triggering the View: When the Weekly radio button is selected under "Appointment duration," a row of day-selection checkboxes is automatically displayed.

    - Day Selection: You can check specific days of the week (S, M, T, W, T, F, S) to define the repeating schedule.

    - Customization: This allows for flexible scheduling, such as setting a meeting to occur every Wednesday.

    - Persistence: Once you click Submit, the system saves these specific days as the recurring pattern for that appointment template.




     

    Daily Accruing Appointment: Weekday Selection
     

    The Daily recurrence setting allows you to establish a high-frequency meeting schedule that repeats every 24 hours based on your selected active days.
     

    How Daily Selection Works
     

    - Multiple Selection: Even when "Daily" is selected, the system provides checkboxes for each day of the week (S, M, T, W, T, F, S).

    - Active vs. Inactive Days: You can multi-select specific days to ensure the daily recurrence only triggers on those chosen days (e.g., selecting only M, T, W, T, F to exclude weekends).

    - 24-Hour Cycle: On the days you have selected, the system will automatically trigger the appointment at the exact same Time specified in the form (e.g., 09:00).
