Customer Flow: Visual Pipeline & Workflow Management
 

Customer Flow is a dynamic workflow management tool designed to organize and track customers through specialized pipelines or "flows". It allows organizations to define specific rules for which customers belong in a pipeline based on their folder, tags, or status, and then visualize their progress across a customizable Kanban-style board. By moving customer cards between designated stages (columns), teams can maintain an operational view of their workload, manage daily assignments, and ensure every customer follows a consistent journey from initial contact to completion.


 

How to Load the This Module
 

To access and configure your Customer Flow settings, follow these three simple steps:
 

  1. Open Settings: Click on your Profile/User Icon in the top right corner and select the Settings (gear) icon.

  2. Navigate to Special Modules: In the sidebar menu, find the Special Modules section and click on Customer Flow.

  3. Start the Wizard: The Customer Flow modal will open.





 

Step 1: Customer Flow Definitions
 

The first step of the wizard is where you define the rules for your pipelines. This table manages which customers are automatically pulled into a specific flow.

 List Overview
 

  • Flow Name: The unique title for your pipeline.

  • Filters (Folder, Tag, Status, Source): Criteria that determine which customers appear in this flow.

  • Team Member: Displays who is assigned to manage or view this specific flow.


Management Actions
 

  • Add New (+ Button): Click the blue plus icon at the top right to create a new flow definition. A popup will allow you to set the name and all filtering rules.

  • Edit (Pencil Icon): Update existing flow rules, such as adding new tags or changing the assigned team members.

  • Delete (Trash Icon): Permanently removes the flow definition.



 

 

Add Customer Flow: Definition Entry
 

Clicking the + button in Step 1 opens the entry modal. This is where you define the specific "rules" that determine which customers will automatically populate your pipeline.

 

Form Fields
 

  • FLOW NAME: Enter a clear title for your pipeline .

  • FOLDER: Select specific folders to link to this flow.

  • TAG: Filter customers by assigned tags.

  • CUSTOMER STATUS: Choose which customer stages (e.g., "Active" or "Pending") qualify for this flow.

  • SOURCE: Filter based on how the customer was acquired (e.g., "Website" or "Referral").

  • TEAM MEMBER: Assign specific staff members who will be responsible for working this flow.
     

    Control Buttons
     

  • SUBMIT: Saves your flow definition and adds it to your listing.

  • RESET: Clears all selections so you can start the form over.





 

Step 2: Customer Flow Column (Board Stages)
 

After defining the flow rules in Step 1, this second step allows you to design the Kanban board structure for your selected pipeline.

Management Overview
 

  • Flow Selector (Dropdown): Choose the specific flow you want to customize. You must select a flow from this list to view or add its unique stages.

  • Column List: Displays the Name and Color of every stage in that flow. These become the vertical columns on your visual board.


Management Actions
 

  • Add Column (+ Button): Click the blue plus icon at the top right to create a new stage.

  • Edit (Pencil Icon): Change a column’s name or update its color coding to improve visual tracking.

  • Delete (Trash Icon): Removes the stage from the board

Clicking the + button in Step 2 opens this modal, allowing you to define a new stage for your Kanban board.

Form Fields
 

  • NAME: Enter the title of the stage . This name will appear at the top of the column on your Flow board.

  • COLOR: Select a specific color for the column. This adds a colored underline to the stage on the board, helping you visually categorize and identify different phases of your workflow at a glance.



Control Buttons
 

  • SUBMIT: Saves the new column and immediately adds it to your visual pipeline.

  • RESET: Clears the Name and Color fields so you can start the entry over.







 

Flow Board: Visual Management & Live Tracking
 

The Flow page is your real-time Kanban board where you manage the journey of every customer. It converts your complex filtering rules and column settings into a simple, visual interface for daily operations.

Interface Breakdown
 

  • Flow Selector: Use the "Select Flow" dropdown at the top left to switch between different pipelines. This instantly updates the columns to reflect that specific workflow.

  • Customer Cards: Each card represents a customer. At a glance, you can see their Name, Team Member Avatar, and Status Badges.

  • Quick Action Icons: Each card features convenient shortcut icons for instant communication:
     

    • Email

    • Phone/Call

    • WhatsApp
       

  • Search & Date Filters: Use the top navigation bar to search for a specific customer or filter the board results by a Start/End Date range.


How to Use It
 

  • Monitor Progress: The vertical columns (colored at the top) show you exactly how many customers are in each stage of your process.

  • Update Stages: Simply drag and drop a customer card from one column to another as they progress (e.g., moving someone from "Pending" to "Approved").

  • Manage Details: Click the Edit (Pencil) icon on any card to update customer details, or use the "X" to remove them from the current view.
